Minutes: July 17, 2019
Call to Order
In the absence of President Carol Hansen Hills (vacationing), the meeting was called to order by Vice President Fran Reynolds at 10:00AM; also present: Treasurer Trish Warner, Secretary Herb Cook, directors Mark Nebel and Barbara Reavis; Caretaker Andrew Watson; PR Committee Chair Gordon Anderson.
Public Comment / Recognition of Guests
Guests: Chuck Livingston, Anne Slinn, Kathy Watrous and Becky Isley. Representing Gardiner Community Church, Watrous and Isley encouraged more collaborative activities between the church and GCC. The church has received about $6,000 in pledges toward construction of a playground on church property east of GCC and is seeking additional community support. As president of the Gardiner Salmon Derby Association, Watrous assured the Board that the Salmon Derby will make a grant to GCC for a new battery and two sets of pads for GCC’s Automated Electronic Defibrillator (AED).
Approval of Minutes
Minutes of the previous Board meeting on June 19, 2019, were approved as corrected by the Secretary.
Communications
- Fran received an email from Jefferson County executive assistant Leslie Locke concerning the meeting of Jefferson County Commissioners and other county officials at GCC on August 21.
Facility Reports
• Maintenance: Caretaker Andrew Watson:
- Jefferson County plans to apply a finish coat on the upstairs floor on July 26.
- Trish reported the County has fixed the leaky outside hose connection.
- The County has not set a date for repairing outside wheelchair ramps.
- The County will be notified about plugged gutters and drainpipes.
• Rental & Scheduling: Fran Reynolds
- Fran presented the Quarterly Usage Report for 2Q 2019 (APR-JUN). Total activities (160) were about the same as in 2018, but quarterly revenue declined about $1,200 primarily because of a decrease in event rentals. Fran transfered the acrylic painting group from annual rental to annual donation status.
- Fran recommended changing the downstairs access code because the door had been left unlocked.
• Landscape: Trish Warner
- Trish thanked Chuck Livingston for assisting with landscape maintenance and for repairing several sprinklers. Trish, Chuck and Mark will welcome additional grounds maintenance volunteers on Monday mornings.
Treasurer’s Report: Trish Warner
- June receipts $609; expenditures $1,689. Cash balance June 30: $17,022.
- JAN-JUN receipts $10,397; expenditures $10,668. Six-month deficit ($271).
- Trish projected a year-end operating deficit of $3,000 to $4,000. Board members discussed options for increasing revenue and/or reducing expenses, including asking Jefferson County to resume paying GCC’s utility bills (electricity & water). Further discussion was deferred to September. MSA (Herb/Mark): To approve the Treasurer’s Reports for June and January-June.
Old Business
- Automated External Defibrillator.
- Board members agreed GCC should use the anticipated grant from the Salmon Derby Association to purchase two sets of AED pads in 2019 and a new battery in 2020.
- Herb delivered a printout of the Philips AED operating manual to Barb for GCC files.
- Public Relations
- Jefferson County Commissioners’ Outreach Meeting at GCC on August 21. The County will allocate five minutes at the start of the meeting (6:00PM) for Carol to explain how GCC is managed and to promote use of the building. Herb will invite Greg Brotherton (District 3 Commissioner) to arrive early, meet GCC Board members and tour the building. Other County officials will also be invited to come early.
- Promotional Flier. Herb and Fran will coordinate production of a four-page mailer highlighting GCC’s facilities, location and affordable rental rates. (Secretary’s Note: Mailer was delivered by The Printery to Herb on August 9.)
- Community Meet-n-Greet: Committee chaired by Gordon and Fran will continue planning an event in April or May 2020.
New Business
- Expiring Board Term. Barbara Reavis agreed to accept nomination by the Board for reappointment by the County Commissioners.
- Board Communication. Anne Slinn offered to assist the Board in adopting Google Docs as a tool for enhancing internal communication. (Secretary’s Note: Anne subsequently distributed a Google Doc spreadsheet listing organizations to be contacted about participating in the Community Meet-n-Greet, Thanks, Anne!)
